2. When do we collect your personal data?

2.1. Cookies and similar technologies
When you visit our website, we collect information about you via cookies. Cookies are small text files stored on your device when you interact with our website. You can find more information about our use of cookies in our cookie policy.

Purpose:

Legal basis:
Our use of cookies for collecting personal data is in accordance with Executive Order No. 1148 of 9 December 2011, section 3. The legal basis for processing is your consent under GDPR Article 6(1)(a), as well as our legitimate interest in improving the website and user experience under GDPR Article 6(1)(f).

Transfer of personal data:
We disclose and/or share cookie data with the following data processors for statistical and functional purposes:

2.2. When you interact with us
Selfinvest processes your personal data when you contact us via email or telephone.

Purpose:
The purpose of processing is to handle your enquiry.

Legal basis:
Processing is based on our legitimate interest in handling your enquiries and questions.

Transfer of personal data:
If we assess that your enquiry relates to one of our entities, we may transfer your personal data to them. We do not transfer your personal data to countries outside the EU/EEA.

Retention policy:
We delete your enquiry immediately after it has been processed.

2.3. When you apply for a job via our career portal
We process your personal data when you apply for a job via our job portal.

Categories of personal data:

  • Contact information (first name, last name, email address, phone number, address)
  • Date of birth
  • Nationality
  • Gender
  • Personal data provided in your application, CV, and any attachments
  • Information you provide during the recruitment process
  • Results from personality tests, IQ tests, etc.
  • References from previous or current employers
  • Work experience
  • Educational background
  • For specific positions, we may also process information about your criminal record. The legal basis for this is either a legal requirement or our legitimate interest in ensuring your suitability for the role.

Purpose:
The purpose of processing is to assess your application and potentially establish an employment relationship.

Legal basis:
Processing is based on either:

  1. Your consent, cf. GDPR Article 6(1)(a), or
  2. Our legitimate interest, cf. GDPR Article 6(1)(f).

Transfer of personal data:
We may disclose and/or share your personal data with our data processors.

Retention policy:
We retain your personal data in accordance with our privacy notice for job applicants.

2.4. CCTV surveillance
When you visit Selfinvest’s headquarters, CCTV surveillance may be in operation.

Categories of personal data:

  • Video recordings from CCTV surveillance

Purpose:
The purpose of CCTV surveillance is to prevent and document criminal activity.

Legal basis:
The legal basis for processing is our legitimate interest in preventing and investigating crime, cf. GDPR Article 6(1)(f).

Transfer of personal data:
Video recordings are processed and stored by our data processor.
Recordings may be disclosed to the police as part of an investigation.

Retention policy:
Personal data collected via CCTV surveillance is automatically deleted 30 days after recording unless the recordings are part of an ongoing investigation.

2.5. Rental
Selfinvest processes your personal data in connection with entering into a tenancy agreement.

Categories of personal data:

  • First and last name
  • Current and previous address
  • Phone number
  • Email address
  • Correspondence regarding the tenancy
  • Tenancy commencement
  • Complaints and/or warnings
  • Move-in and move-out reports
  • Payment information

In some cases, the following personal data is processed:

  • CCTV footage in parking basements
  • CPR numbers are disclosed to EWII in connection with utility registration and are deleted immediately after disclosure.

Purpose:
The purpose of processing personal data is to manage your tenancy agreement, including:

  • Fulfilling contractual obligations
  • Communicating with you regarding your tenancy agreement
  • Administration and management of payments
  • Compliance with applicable legislation

Legal basis:
Processing is based on either:

  1. Your consent, cf. GDPR Article 6(1)(a),
  2. Our legitimate interest, cf. GDPR Article 6(1)(f), or
  3. Entering a contract with you, cf. GDPR Article 6(1)(b).

Transfer of personal data:
To fulfil the purposes of processing your personal data as described in this policy, it may be necessary for us to disclose your personal data. In such cases, disclosure will occur based on your consent, if we have a legitimate interest in disclosure, or if we have a legal obligation.

Disclosure may be made to the following recipients:

  • Data processors
  • Public authorities
  • Utility companies
  • Debt collection agencies

Retention policy:
We retain your personal data for as long as necessary for the purposes for which it was collected and processed, but no later than five years after the end of the customer relationship. However, accounting records are kept for five years plus the current financial year, cf. the Danish Bookkeeping Act section 12(1).
Images collected via CCTV surveillance are retained for 30 days, cf. the Danish CCTV Surveillance Act section 4c(4).

3. Your Rights
As a data subject under GDPR, you have several rights:

3.1. The right to access the personal data we process about you.
3.2. The right to have inaccurate information rectified.
3.3. The right to have certain personal data erased.
3.4. The right to restrict the processing of your personal data or to object to processing on grounds relating to your particular situation.
3.5. The right not to be subject to decisions based solely on automated processing, without human involvement, unless the decision (1) is necessary for entering into or performing a contract between you and the organization, (2) is authorized by law, or (3) is based on your explicit consent.
3.6. If processing is based on consent, you can withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing prior to withdrawal.
3.7. The right to data portability, i.e. to receive personal data you have provided to us in a structured, commonly used, and machine-readable format.
3.8. The right to lodge a complaint with the Danish Data Protection Agency.
